Terms & Conditions

The following are an example of our Terms & Conditions. Once a booking has been confirmed you will be given two copies of our Terms & Conditions to sign. One is for you to keep and one is for our files.

Terms & conditions of hire
Persons booking an event are reminded that a contract exists between the Hirer (Client) and Hunter’s Hall. In signing theses Terms and Conditions it is understood that the Client has read, understood and agreed to the following points:

1. Provisional bookings will be held for a maximum of 10 working days. If the booking is not confirmed within this time the date will be released for rehire.

2. To confirm a booking a non-refundable deposit of £750 is required for 2010/2011, £825 for 2012.

3. All available bed & breakfast accommodation will automatically be reserved for you for the night of your function. However you will have one month after booking to confirm if you require these or rooms will be released for general sale.

4. A minimum number of 80 adult guests are required for Fridays, Saturdays, Sundays and Bank Holidays during the peak period from 1st April to 1st October. Should numbers fall below 80 a surcharge of £10.00 per guest will apply up to the required 80 guests.

5. 70% of the projected final invoice is payable 8 weeks prior to the function. Full payment of the outstanding balance plus any additional monies owing to Hunter's Hall on completion of the function is due within 28 days from the date of the function.

6. Unless stated all prices are inclusive of VAT at the current rate at time of invoice.

7. To aid the smooth running of the function, Clients are asked to attend at least 3 meetings with the Function Co-ordinator. The 3 meetings are as follows:
• Meeting 1: At time of booking to discuss provisional requirements and numbers, discuss accommodation.
• Meeting 2: 3 months prior to the function (at the latest) to outline in more detail the order of the day, menu and any additional requirements.
• Meeting 3: 2 weeks prior to the function (at the latest) to confirm final numbers and all requirements including table plan, room layouts, decorations and order of the day.

8. In the event of a cancellation by the Client:
• Notification must be received in writing.
• We regret that all deposits and down payments are non-refundable.
• With 62 to 28 days notice Hunter's Hall reserves the right to raise a charge of 75% of the price quoted based on provisional numbers and requirements.
• With less than 27 days notice Hunter's Hall reserves the right to raise a charge of 85% of the price quoted based on provisional numbers and requirements.

Terms and conditions of catering and bar

1. All dishes are subject to availability.

2. If clients require special items, which need to be ordered or hired in additional charges may apply.

3. Final numbers MUST be received 2 weeks before the function date. Once final numbers have been received supplies will be ordered accordingly. The final numbers advised will constitute the minimum number of guests charged for e.g. if your final numbers are confirmed as 90 but only 80 guests attend you will be charged based on 90 guests. Any additional guests will be charged for.

4. All children aged 10 or under eat at 2/3 of the adult price. All children aged 2 or under are free.

5. As company policy we do not serve wedding cake as dessert.

6. Menu prices are subject to change in line with inflation or where ingredients are out of season.
